Developing effective presentation skills is a very necessary and important skill for business communicators to learn. In fact, “Self-report data from a survey of 1,610 2- to 12-year business alumni show that 37.1% present monthly and 27.9% present weekly in their current positions” (Marcel, 2015, p. 10). As such, one critical aspect of presentation is the use of graphics. Graphics can be a wonderful aid to a presentation. They can certainly help make a presentation visually pleasing and therefore more captivating to an audience. Good graphic use can also help to convey visual messages – such as statistics/demographics and therefore keep slide content limited and uncluttered.
On the other hand, it is important to note that you should “limit the number of visual aids used in a single presentation” (Lehman, DuFrene, & Walker, 2016, p. 209). In other words, a presentation can consist of ‘too many’ graphics resulting in audience distraction or disinterest. The quality of images used should also be taken into consideration. A number of questions should be asked before you decide to use a specific graphic in your presentation: Is it high resolution (i.e. easily seen)? Is it relevant to my presentation? Is it helpful to my audience or distracting? If you answered no to any of these questions, then it is likely unnecessary for your to include. As a whole, your presentation should be balanced, including poignant visual aids, brief but descriptive bullet points, and a consistent theme.
